Zendesk–Salesforce integration that puts account context on every ticket

From the standard Zendesk–Salesforce connector to custom workflows in n8n or Workato, we connect the two systems so agents stop switching tabs and sales sees what support knows.

The problem: two systems of record, one agent in the middle

Salesforce holds the account, the contract, the renewal date and the opportunity. Zendesk holds the ticket. The person who has to join them is a support agent, looking up the account in one tab while the customer waits in the other. Names and organizations drift apart. A trip number, a subscription tier or a system ID that sales entered in Salesforce has to be retyped into Zendesk, and the reply template cannot use it because it is not there.

The standard Zendesk–Salesforce integration solves part of this. It shows Salesforce records in the ticket sidebar and can sync users and organizations. It does not, on its own, decide which system is the source of truth, fix the mismatched records you already have, or write trip-specific or account-specific data onto the ticket so a macro can use it. That is the work we do.

How we approach a Zendesk–Salesforce integration

Start with what agents need to see

We ask what an agent should know the moment a ticket opens. For a performance management software company the answer was account data from Salesforce on every Zendesk user and organization profile. For a private aviation company it was live trip details: tail number, routing, FBO and a weather briefing for both airports. The data needed drives the design, not the connector's feature list.

Install the connector and extend the profiles

We install the Zendesk–Salesforce integration, extend Zendesk user and organization fields to hold the Salesforce data agents need, then load contacts and organizations and link each one to its Salesforce record. Where names or organizations do not match, we correct them with Salesforce as the source of truth, so the sync stays clean after launch.

Go beyond the connector when the workflow needs it

Some requirements need middleware. When an agent adds a trip number to a ticket, a Zendesk webhook can call an n8n workflow that reads the trip from Salesforce, enriches it, and writes the fields back onto the ticket so dynamic macros build the reply. We have scoped Salesforce flows such as CSM turnaround and organization field copy for a move into Zendesk, laying out the in-Zendesk option and the middleware option for each decision point. We write a setup guide for your Salesforce admin so the integration is maintainable without us.

Moving from Service Cloud to Zendesk

If Salesforce Service Cloud is your current help desk and Zendesk is the destination, we migrate tickets, end users and related records, review field mappings with you before the final import, and rebuild the escalation process in Zendesk. Salesforce quick-text templates become Zendesk macros, inventoried and organized into folders per team. Our [Migrate to Zendesk](/solutions/migrate-to-zendesk) page covers that path in more depth.

What to check in your own setup

  • Which system is the source of truth for contact names and organizations, and how many records currently disagree.
  • Whether Salesforce is on a plan with API access that the integration or middleware can use.
  • The Salesforce objects agents actually reference: accounts and contacts only, or custom objects such as trips, systems or subscriptions.
  • Whether you need one-way visibility (Salesforce data shown in Zendesk) or two-way updates (ticket data written back to Salesforce).
  • Whether reply templates would be faster if they could read account or order fields.

What clients have seen

Teams we have worked with estimate one to two minutes saved per ticket by no longer switching to Salesforce for account lookups, about five minutes per itinerary email when macros fill from live Salesforce data, and about 30 percent less time finding the right reply after templates were consolidated into one macro library.

Buy Zendesk through ShadowRock

ShadowRock is an authorized Zendesk reseller and a Zendesk Premier Implementation Partner. If you are adopting Zendesk alongside Salesforce, you can buy the Zendesk licenses and the integration work from us in one contract. We also work with Salesforce Sales Cloud, Service Cloud and Marketing Cloud Account Engagement (formerly Pardot) directly, so one team covers both sides of the integration. Verify our Zendesk partner status on the Zendesk Marketplace.

For sidebar visibility and user and organization sync, often yes. It is not enough when you need custom-object data written onto the ticket, dynamic macros, or workflows that run on a trigger. We tell you which you need during scoping.

We have built on n8n and Workato, and we also use Zendesk webhooks and Action Flows with custom code. The choice depends on what you already run and who will maintain it.

Yes. Several integrations we have built read from Salesforce and write only to Zendesk, so Salesforce stays the system of record and nothing changes without a Salesforce user doing it.

Yes. We implement and administer Salesforce for clients, including Nonprofit Cloud, CPQ and Account Engagement, and we can prepare the Salesforce side of the integration.
