One Zendesk for HR, IT, legal and facilities, with each team seeing only its own work

We design Zendesk employee service desks so internal requests arrive sorted, stay private to the department that owns them, and can be reported on without a spreadsheet.

The problem: internal requests in email, Slack and a general form

Employees ask for help the way they ask for anything else: an email to a shared HR address, a message in an IT Slack channel, a hallway question to facilities. Every request arrives as a general form and someone categorizes it by hand. Leave requests sit next to payroll corrections and laptop replacements. Executive reporting is hard because the categories were never designed. And the requests that must stay private, such as employee relations or legal matters, live in the same queue as everything else.

Zendesk positions employee service as fast to set up and built to resolve internal requests, not just deflect them. That promise holds when the structure underneath is right: one instance, a brand or group per service team, categories decided from real request data, and routing rules instead of manual reassignment.

How we approach a Zendesk employee service desk

Decide what one instance means for your departments

Most organizations want HR, IT and other internal teams on the same Zendesk so employees have one place to ask, while each department sees only its own tickets. We review roles, groups and triggers so that holds, and we make requests that belong elsewhere move between groups by rule rather than by hand. Where a team needs a fully separate space, we use Zendesk brands or brand spaces, which keep one admin surface and one set of reports instead of a second instance.

Categories from the tickets you already have

Before building forms we analyze existing requests and propose a consolidated category structure that supports reporting. For HR that typically covers leave, payroll, benefits, onboarding, offboarding, transfers and accommodations. Requests are then categorized on arrival and routed to their owner, with a Slack notice where the team works there. Purpose-built forms for general inquiries, leave accommodations and employee relations replace the one general form.

Sign-in, approvals and audit

Employees of several subsidiaries may sign in through different Microsoft Entra tenants, and all of them should reach the same help center. We check single sign-on per tenant. For change requests and periodic reviews that need sign-off from several teams, we design multi-step approval workflows in Zendesk, with reporting that supports audit requirements.

Migrating from Jira Service Management or a legacy brand

If HR or IT already runs in Jira Service Management, we map Jira fields to Zendesk using rules your team approves before import, load historical and open tickets in batches traceable to their source, and move the email address at cutover. If two internal teams share one legacy Zendesk brand, we split them into their own brands and retire the old brand in stages so no open request is lost.

Build in a sandbox, hand over documented

All changes are built in a sandbox for review before production. We hand over a setup guide, an audit trail of the change and an agent onboarding guide so your team administers the desk itself.

What to check in your own setup

  • How many distinct intake points employees use today: email addresses, Slack channels, forms.
  • Which request types must stay private to one department, and who may see them.
  • Whether your organization has one identity tenant or several, and whether every employee can reach one help center.
  • Which approvals currently run in email threads and would benefit from a tracked workflow.
  • What leadership wants to report on each quarter, because that defines the category structure.

What clients have seen

After splitting two internal service teams into their own brands with brand-first routing, one client estimates manual reassignment of requests fell by about 35 percent. A People team whose HR helpdesk moved from Jira Service Management now has every historical request searchable in Zendesk and new requests arriving sorted into categories.

Usually yes. One instance keeps one admin surface and one set of reports. Groups, roles and brands keep each department's tickets private. A separate instance is rarely worth the duplicated administration.

Yes. A Zendesk help center portal gives employees one place to submit and track requests, and it can be reached through your single sign-on.

Yes. We have migrated historical and open HR tickets from Jira Service Management with approved field mappings and verified the result against the Jira export.
