Zendesk for ecommerce support teams: order status answered from NetSuite or your order system, by an AI agent or on the ticket

We work with support teams at consumer brands, connecting order data to Zendesk so customers get status in chat and email without waiting, and agents see the order, the call and the brand on every ticket.

The problem: the most common question has the slowest answer

For a consumer brand, order status is the biggest single ticket category and the easiest to get wrong. The order lives in Oracle NetSuite or an order management system. The customer is in chat, email or on the phone. An agent copies the order number, searches, reads a status code like PENDING FULFILLMENT and types a translation. Before the holiday peak the queue doubles, and the agents who should be handling returns and warranty claims are reading shipping statuses aloud.

Turning on a Zendesk AI agent does not fix this by itself. Without a connection to the order data, the agent can only say what the help center says about shipping in general.

How we approach order status in Zendesk

Order lookup inside the AI agent

We build the API connection the [Zendesk AI agent](/solutions/zendesk-ai-agents-implementation) calls into [NetSuite](/solutions/zendesk-netsuite-integration) or your order system. Customers can give an order or PO number in any common format. The agent requires them to confirm details that match the order before it shows anything, replies only from the fields the system returns, translates raw status codes into plain language, and escalates to a person after a second failed lookup. Order status lookup is live in chat for a massage chair and wellness products maker, with an expected 25 percent of order status questions answered without an agent.

One agent across several brands

A manufacturer with [several consumer and commercial brands](/solutions/zendesk-multi-brand-setup) does not need an agent per brand. We built one Zendesk AI agent for a car audio manufacturer that answers product and order questions across several brands, with guides and manuals connected as knowledge sources, answers segmented by brand, and a Zendesk–NetSuite order lookup behind all of them. A storefront sitemap that loads in batches needed a workaround, which we built.

Product questions from your own content

Alongside order status, the agent answers product questions from the help center and a web crawl of your site, each use case built as a dialogue or procedure with a persona, tone and instructions. For a cabinetry maker we launched Zendesk Suite and an AI agent with three use cases together, advised on where to embed the widget, and left a configuration audit for next steps.

Phone calls that become tickets automatically

If phone support runs on RingCentral RingCX, each call ticket needs an assignee, queue and issue type. We built a Zendesk Action Flow for a scooter maker that reads the RingCX update, assigns the ticket to the agent who took the call and sets the fields by matching RingCX dispositions to Zendesk issue types, saving one to two minutes per call ticket. It was ready before the holiday peak.

Invoices and collections from Zendesk

For wholesale and B2B channels, we build Workato workflows that open a prioritized Zendesk ticket for each past-due NetSuite invoice and close it when the payment posts, so collections works from Zendesk and expects about 40 percent less manual invoice checking.

What to check before the next peak

  • What share of tickets are order status, and how long each one takes an agent today.
  • Whether your order system has an API, and whether a sandbox exists to test against.
  • How customers identify orders, and what you require them to confirm before details are shown.
  • Whether your brands can share one agent with segmented content.
  • Whether call dispositions in your phone system match the issue types in Zendesk.

Yes. The pattern is an API connection the AI agent calls. We have built it for Oracle NetSuite and for clients' own applications, and it applies to other order systems with an API.

The agent requires the customer to confirm details that match the order before showing anything, shows only the fields the system returns, and escalates after a second failed check.

Yes. We have built one agent for several brands with brand-segmented answers and one shared order lookup.

Allow a few weeks for a focused order status build and testing. Call routing flows can be ready in less. Start before the quarter the peak falls in.
